Privacy Policy
This privacy notice explains how Stamp Stone collects, uses, stores and shares personal information when you use this website, request a quotation, upload project photographs or communicate with us.

1. Who is responsible for your information
For the purposes of UK data protection law, Stamp Stone is the controller of the personal information described in this notice.
Business location: Quorn, Leicestershire, United Kingdom
Email: Enquiries@stampstone.co.uk
Telephone: 07899 413968
If you have a question about privacy, want to exercise a data-protection right or want to raise a concern about how your information has been handled, please use the contact details above.
2. What this notice covers
This notice covers personal information processed through the Stamp Stone website and our normal customer-enquiry and project administration activities, including:
- website contact and quotation forms;
- project-photo uploads;
- telephone, email, WhatsApp and social-media enquiries;
- site-visit and quotation arrangements;
- customer, project, invoice and aftercare records;
- website analytics, security and cookie choices; and
- review, referral or follow-up communications where permitted by law.
Separate websites, social-media platforms, review platforms and messaging services have their own privacy notices for the information they process independently.
3. Personal information we collect
The information we collect depends on how you interact with us. It may include:
- Identity and contact details — such as your name, telephone number, email address and preferred contact method.
- Property and project details — such as postcode, property location, requested service, approximate measurements, access details, drainage or level information, preferred timescale and project description.
- Photographs and files — images you upload or send so that we can understand the existing driveway, patio, garden, access, damage, levels or other relevant site conditions.
- Communication records — emails, form submissions, messages, notes of calls and correspondence relating to an enquiry, quotation or project.
- Customer and transaction records — quotations, accepted scopes, appointment records, invoices, payment references and other records required if work proceeds.
- Website, referral and attribution information — which may include IP address, browser/device information, page visits, referring website or AI assistant, landing and conversion pages, campaign tags such as UTM parameters, advertising click identifiers such as fbclid, gclid or msclkid, security logs and cookie or consent choices.
- Feedback information — information you choose to provide through reviews, surveys or feedback requests.
Please do not provide sensitive or special-category information unless it is genuinely necessary for us to deal with your request. Where practical, avoid including unrelated people, vehicle registration numbers, documents or private neighbouring-property details in project photographs.
4. How we obtain personal information
Most information is provided directly by you when you submit a form, upload photographs, telephone us, send an email or message, request a quote or become a customer.
We may also receive information:
- from somebody acting on your behalf, such as another household member or representative;
- through a referral where somebody gives us your details with an appropriate reason to do so;
- from website analytics, security and consent technologies when you use the site; or
- from information that is reasonably necessary and publicly available for arranging access or understanding a property location.
5. Why we use information and our lawful bases
We only use personal information where we have an appropriate lawful basis. The basis depends on what we are doing with the information.
| Purpose | Typical lawful basis |
|---|---|
| Responding to an enquiry, reviewing project information and preparing a requested quotation | Contract — taking steps at your request before entering into a contract |
| Arranging site visits, delivering agreed work, communicating about the project and providing aftercare | Contract |
| Maintaining invoices, tax, accounting and other records required by law | Legal obligation |
| Protecting the website, preventing misuse, maintaining business records and establishing or defending legal claims | Legitimate interests and, where applicable, legal obligation |
| Understanding website performance and improving content or user experience | Consent where required for non-essential cookies or tracking; otherwise legitimate interests where legally appropriate |
| Optional direct marketing, promotional messages or electronic follow-up offers | Consent, or another route permitted by applicable electronic-marketing rules |
Where we rely on legitimate interests, those interests may include operating and protecting the business, responding effectively to genuine enquiries, improving services, maintaining appropriate records and preventing misuse. We consider whether our interests are necessary and proportionate and whether they are outweighed by your rights and reasonable expectations.
6. Quote enquiries and project-photo uploads
To assess a quotation request we may need enough information to understand the property, access and proposed work. Contact details and a project location are usually necessary if you want us to respond meaningfully or arrange a visit. Other information, including photographs, may be optional unless it is needed to assess the work.
Photographs uploaded through the website or sent by message may be stored with the related enquiry or project record and viewed by authorised people who need the information to assess, quote, plan or deliver the requested work.
Submitting an enquiry or uploading photographs does not oblige either you or Stamp Stone to enter into a contract.
7. Customer follow-up, reviews and marketing
We may contact existing or previous customers about matters connected with work we have carried out, including reasonable service follow-up or requests for feedback.
Where a communication is direct marketing — for example a promotional offer, referral scheme or marketing email/text — we will only send it where permitted by applicable data-protection and electronic-marketing rules. You can ask us to stop direct marketing at any time by contacting us or using any unsubscribe or opt-out method provided in the message.
If you choose to leave a public review on Google, Trustpilot or another independent platform, that platform controls its own processing of your review account and public content.
8. Cookies, analytics and website technology
The website uses cookies and related technologies for functions such as site operation, security, preferences and, where enabled, analytics.
Stamp Stone uses Google Site Kit to connect certain Google website services. Where analytics features are enabled, Google or related service providers may process technical and usage information such as device/browser data, IP-derived information and interactions with the website, subject to the site’s consent settings and the provider’s own terms.
When you submit or initiate an enquiry, we may also record limited referral and campaign information that accompanied that enquiry, such as the referring website or AI assistant, UTM campaign values, advertising click identifiers and the page where the enquiry was made. We use this to understand which marketing and discovery channels generate genuine enquiries and booked work. Persistent browser attribution is not required for the basic enquiry-attribution setup and, where non-essential storage or tracking is used, it is subject to the site’s applicable consent controls.
Non-essential cookies or tracking technologies are used only where an appropriate legal basis and consent mechanism applies. You can find more information and manage relevant choices through our Cookie Policy and available cookie controls.
9. Who we may share information with
We do not sell personal information. We may share it where reasonably necessary with:
- website hosting, maintenance, form, file-upload, email, security, backup and analytics providers;
- professional advisers such as accountants, insurers or legal advisers;
- contractors, subcontractors or suppliers involved in an agreed project where they need relevant information to carry out their part of the work;
- banks or payment providers used to receive or reconcile payments;
- service providers used for customer communications or administration; and
- courts, regulators, law-enforcement bodies or other authorities where disclosure is required or permitted by law.
Where another organisation acts as our processor, we expect it to handle information only for the agreed purpose, apply appropriate security and comply with applicable data-protection requirements.
10. International transfers
Some website, cloud, analytics, email or communications providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we expect an appropriate transfer mechanism to be used, such as a UK adequacy regulation, approved contractual safeguards or another lawful mechanism.
11. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and for any related legal, accounting, insurance or dispute-resolution requirements.
- Enquiries that do not become projects are reviewed and removed when there is no longer a reasonable business or legal need to retain them.
- Project, quotation and customer correspondence may be retained while it remains relevant to the work, aftercare, warranty discussions, disputes or legitimate business records.
- Invoice, accounting and tax-related information is retained for the period required by applicable law and legitimate record-keeping needs.
- Marketing suppression information may be retained where necessary to make sure we respect an opt-out request.
- Website security logs and analytics information are retained according to the relevant configuration and provider settings.
Retention periods are reviewed and information may be deleted, anonymised or securely archived when it is no longer required.
12. How we protect information
We use reasonable technical and organisational measures intended to protect personal information against unauthorised access, accidental loss, misuse, alteration or disclosure. Access to business systems and website administration is restricted to people who need it.
No internet transmission or storage method can be guaranteed completely secure. Please avoid sending unnecessary sensitive information through ordinary website forms, email or messaging services.
13. Your data-protection rights
Depending on the circumstances and the lawful basis being used, you may have rights to:
- be informed about how your personal information is used;
- ask for access to the personal information we hold about you;
- ask for inaccurate or incomplete information to be corrected;
- ask for personal information to be erased in certain circumstances;
- ask us to restrict the use of information in certain circumstances;
- object to processing based on legitimate interests;
- object to direct marketing at any time;
- receive certain information in a portable format where the legal conditions apply; and
- withdraw consent at any time where consent is the lawful basis.
These rights are not all absolute and legal exemptions may apply. To make a request, email Enquiries@stampstone.co.uk. We may ask for enough information to confirm your identity and locate the relevant records.
14. Automated decision-making
We do not currently use website enquiries or project-photo uploads to make decisions about you solely by automated means that produce legal or similarly significant effects. Quotations and project decisions involve human review.
15. Children’s information
The Stamp Stone website and quotation service are intended for adults arranging property or outdoor-improvement work. We do not knowingly seek personal information from children through the quotation process.
16. External websites and services
The website may link to Google, Trustpilot, social-media platforms, manufacturers, government guidance or other independent services. Stamp Stone is not responsible for how those organisations process information when you use their websites or services. Please read their privacy information where appropriate.
17. Complaints
If you have a concern about how Stamp Stone has used your information, please contact us first so we can review it.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data-protection regulator. Information about making a complaint is available on the ICO website.
18. Changes to this privacy notice
We may update this notice when our website, forms, project processes, service providers or legal requirements change. The date at the top shows when the notice was last reviewed.
